The candidate must be based in Aruba and available for in-person meetings, office work, team coordination, company activities, client-related activities, and business follow-up when needed.
The work location may be flexible depending on the business needs, but this is not a fully remote position.
Position Overview
We are looking for a highly responsible, organized, proactive, and committed Sales & Marketing Management Assistant to support management with the organization, coordination, execution, monitoring, and reporting of sales and marketing activities across a growing group of companies.
The company is active in several industries, including real estate, tourism, eco-tours, marketing, website management, online media, advertising, digital publishing, and local business promotion in Aruba. The group is growing and has future expansion plans within the Dutch Caribbean and other related markets.
This role is ideal for someone who wants to grow inside a fast-moving business environment and become a trusted support person to management. The candidate must be able to bring structure, follow up on tasks, organize priorities, communicate with team members, monitor execution, and prepare clear reports.
This is not only an administrative role. It is a management support role for someone with business understanding, sales and marketing knowledge, strong organization skills, and the right mindset.
We are looking for a person who takes ownership of their work, cares about the company, and is willing to go the extra mile when needed. This is not the right position for someone with a strict 8-to-5 mentality. Main Purpose of the Role
The Sales & Marketing Management Assistant will support management by organizing, coordinating, monitoring, and reporting sales and marketing-related activities across the companies.
The role helps management answer important questions such as:
- What sales and marketing activities are currently happening?
- What needs to be executed this week?
- Who is responsible for each task?
- What has been completed?
- What is delayed?
- What needs follow-up?
- Which opportunities require management attention?
- Which team members, freelancers, clients, or partners need coordination?
- What can be improved in the workflow?
- What should be reported every week?
The main purpose is to take daily coordination and follow-up work away from the Owner/Director and help the business operate with more structure, consistency, and accountability.
Key Responsibilities
1. Management Support
- Support the Owner/Director with sales and marketing organization.
- Help translate business ideas, plans, and goals into clear action steps.
- Prepare weekly task lists and execution priorities.
- Organize management information, project updates, and follow-up points.
- Help reduce the daily coordination workload of management.
- Make sure important tasks, deadlines, and opportunities do not get forgotten.
- Act as a trusted support person for management decision-making and execution.
- Help create more structure, discipline, and accountability across the company.
2. Sales & Marketing Coordination
- Monitor sales and marketing activities across different business divisions.
- Follow up with team members, freelancers, sales agents, designers, developers, advertising support, and partners.
- Track sales leads, client opportunities, advertising opportunities, real estate-related opportunities, tourism partnerships, and marketing deliverables.
- Coordinate communication between management and execution teams.
- Help organize sales pipelines, campaign plans, content calendars, website updates, newsletters, and promotional activities.
- Make sure responsible people know what needs to be done, when it needs to be done, and what result is expected.
- Help maintain alignment between sales activities, marketing actions, and business goals.
3. Task Organization & Execution
- Convert management ideas into organized task lists.
- Assign, organize, and follow up on tasks using digital tools.
- Create action plans for weekly and monthly priorities.
- Help execute practical tasks when needed.
- Assist with marketing-related work when necessary, such as content planning, basic post preparation, campaign coordination, website update follow-up, video planning, or sales follow-up.
- Help prepare internal documents, reports, checklists, and planning sheets.
- Support the improvement of internal workflows and procedures.
- Follow up firmly and professionally with people responsible for tasks.
4. Reporting & Performance Follow-Up
- Prepare weekly reports for management.
- Report completed tasks, pending tasks, delays, challenges, opportunities, and next steps.
- Track progress of sales activities, marketing campaigns, content calendars, website updates, newsletters, and business development initiatives.
- Monitor team performance and task completion.
- Identify areas that need attention, decision-making, or improvement.
- Organize information in a clear and practical way so management can make faster and better decisions.
5. Hands-On Support When Needed
According to our company philosophy, management team members should understand the work they coordinate and be willing to assist when needed.
This means the candidate should be open to helping with practical tasks such as:
- Basic social media post preparation
- Content planning
- Coordinating or assisting with video production
- Helping organize photos, videos, and campaign materials
- Following up on website updates
- Checking marketing materials before publication
- Assisting with newsletters or simple content coordination
- Supporting sales follow-up
- Preparing client or internal presentations
- Helping during events, launches, campaigns, or urgent deadlines
The person does not need to be the best designer, video editor, copywriter, or salesperson, but should understand these areas enough to help organize, support, execute, and follow up when needed.

Required Qualifications
- Must be based in Aruba.
- Completed higher education or relevant professional training.
- Experience in management assistance, sales coordination, marketing coordination, operations coordination, project coordination, executive assistance, business administration, or a similar position.
- Good understanding of sales, marketing, digital marketing, websites, social media, and business operations.
- Strong organizational, planning, reporting, and follow-up skills.
- Excellent written and verbal English communication.
- Experience with digital tools, organizing software, calendars, spreadsheets, and project management platforms.
- Able to work independently and take initiative.
- Able to handle confidential business information professionally.
- Willing to assist with hands-on execution when needed.
